At Chocobun, we respect your privacy. We care deeply about our own privacy on- and off-line and we want to make sure we provide the best we can to our clients.
Information you share with us
When you send us an e-mail through the form on our website, you're sharing :
- your name, or rather the name you provide ;
- your e-mail address ; and,
- the needs of you or your organisation. You may share other data at your own will via e-mail that may be outside of what we've mentioned above. These conversations are kept 5 years or however long is legally required for financial history in the U.S.A., whichever is shorter.
Potential, current, and future clients are saved in an Airtable database (similar to that of an Excel sheet). We store :
- the name of your organisation ;
- a link to your website ;
- any notes we have about working with you (requests, who to ask for when making phone calls, et al.)
- the status of client ("Not started", "Preparing proposal", "Sent proposal", "Rain check", "Accepted proposal", "Rejected proposal")
- the status of a proposal ("Needs design", "Being designed", "Awaiting design approval", "Awaiting development", "Being developed", "Awaiting final remarks / approval", "Finished")
- the date your organisation and Chocobun entered contract
- the date your organisation and Chocobun agreed as a deadline
- what pay level your organisation is under (our pricing page provides information on why we charge what we charge ; "C-1", "C0", "C1", "C2", "C3", "C4")
- any comments (separate from notes) to be used internally for working on client projects (only shared internally) Airtable data is stored indefinitely, unless requested otherwise by you or your organisation.
When working on any design work, we store a copy of our iterations and the final product. Although that's common sense, we figure to mention it here regardless. Design work is stored indefinitely, unless requested otherwise by you or your organisation.
When working on web development, we store a copy of our iterations and the final product. Although that's common sense, we figure to mention it here regardless. Source code from web development is stored indefinitely, unless requested otherwise by you or your organisation.
If you choose to host your website with us, we store a copy of the final product to serve. If you have large assets, we also store them, albeit with a different subprocessor. The final product and your site's assets are stored for as long as you choose to host with us and are deleted once you decide to stop doing so.
Other projects may require special data sharing and usage. In these instances, contracts between your organisation and Chocobun will have their own privacy policy to supplement this one.
We do not collect any information from any third-parties.
Information we share with others
Conversations started with the contact form on our website are shared with AC PM LLC dba Postmark, which shares it with Migadu-Mail GmbH, our mail service provider. You can view Postmark's privacy policy here.
Conversations held over e-mail are shared with Migadu-Mail GmbH, our mail service provider. You can view their privacy policy here. Past, current, and potential future clients have their information stored with Formagrid Inc. d.b.a. Airtable. You can view their privacy policy here.
Any design work that we complete is done in and shared with Figma, Inc.. You can view their privacy policy here. Any website work is archived for future reference or in case a client loses previous access with LMAO.ch's Git server.
Card, ACH, and digital payments are processed with Stripe, Inc.. You can view their privacy policy here. Digital payments provided by Stripe, such as through Apple Pay or WeChat Pay, you may be subject to that payment provider's privacy policy as well. We suggest that you seek out and read the payment provider's privacy policy before transacting using such. Payments made in cash or with cheque are processed with Navy Federal Credit Union. If you choose to host your website with us, your website is shared with 1984 Hosting. You can view their privacy policy here. If your site has large assets, they will be shared with BunnyWay d.o.o.. You can view their privacy policy here.
Whem presented with a U.S.-issued court order, U.S.-issued subpoena, or under another legal obligation to share information with law enforcement, we will share only what is requested and available to us.
We do not sell or share any information outside of this scope. We do not share your data or use your data for behavioural marketing.
Your rights
Some individuals may have rights under a privacy law enacted in their area. In addition to what rights you may be entitled to, we guarantee you the following rights :
- the right to be notified within 72 hours of us being aware of a data breach via e-mail
- the right to be notified within 72 hours of us making any meaningful changes to this privacy policy
- the ability to view all data stored on you and your organisation by us
- the ability to correct or modify any data that can be modified without requiring a new contract (a new contract can be made to modify other information like a legal organisation name, deadline, et al.)
- the ability to remove any and all data that we store on you and your organisation
